Ajademy ("we," "us," "our") respects your privacy and is committed to protecting your personal data in accordance with the Data Privacy Act of 2012 (Republic Act No. 10173), its Implementing Rules and Regulations, and the issuances of the National Privacy Commission of the Philippines ("NPC").
This Privacy Policy explains what personal data we collect when you visit www.aja-edu.com or use our services, why we collect it, how we use it, who we share it with, and the rights you have over it.

1. Information We Collect
1.1 Information you give us
- Contributor applications: when you apply to become a contributor through our application form, we collect your name, email address, role (e.g., teacher, student, professional), subject area, and a short bio.
- Contributor accounts: if approved, we use your email address to create a sign-in account through Netlify Identity, our authentication processor.
- Uploaded resources: resource title, category, description, tags, the source URL or attached file, and the contributor's name (which appears as a credit on the resource card).
- Communications: the content of any email you send to learn@aja-edu.com and our reply.
1.2 Information collected automatically
- Server logs: our hosting provider (Netlify) records standard access logs including your IP address, the page requested, the timestamp, the HTTP referrer, and your browser user-agent. These logs are retained for a limited period for security and abuse prevention.
- Cookies and local storage: we use essential cookies and browser local storage strictly for site functionality (for example, to remember that you are signed in). We do not use third-party advertising or tracking cookies.
2. Lawful Basis for Processing
We process your personal data on the following lawful bases under Sections 12 and 13 of RA 10173:
- Consent: when you submit a contributor application or send us a message, you consent to our processing of your data for the stated purpose.
- Contract: processing necessary to operate a contributor account you have created with us.
- Legitimate interest: processing necessary to keep the platform secure, prevent abuse, and moderate uploaded content. We balance this against your fundamental rights.
- Legal obligation: where required by Philippine law or a lawful order.
3. How We Use Your Information
- To review and respond to contributor applications.
- To create and manage contributor accounts.
- To moderate, publish, organize, and remove uploaded educational resources.
- To respond to your inquiries and support requests.
- To detect, investigate, and prevent fraud, abuse, or security incidents.
- To comply with applicable laws and lawful requests from authorities.
4. Sharing and Disclosure
We do not sell, rent, or trade your personal data. We share data only with the following processors, each acting under our instructions and with appropriate safeguards:
- Netlify, Inc. — hosting, file storage (Netlify Blobs), authentication (Netlify Identity), and serverless function execution.
- SendGrid (Twilio Inc.) — outbound transactional email (e.g., contributor application notifications). Used only when configured.
- Anthropic, PBC — only when you use the AI Generator feature; the prompt you submit is processed by the Claude API to generate the requested content. We do not send your account information.
- Google LLC (Fonts) and JSDelivr (CDN) — public assets such as web fonts and emoji polyfill files. These providers may receive standard request metadata.
We may also disclose information when required by law, court order, or to protect the rights, safety, or property of Ajademy, our users, or the public.
5. Retention
- Contributor account data is retained for as long as the account is active and for up to one (1) year after deactivation, after which it is deleted or anonymized.
- Uploaded resources remain available while published. You may request removal of your own contributions at any time by emailing us.
- Server logs are retained by our hosting provider in accordance with their standard log retention.
- Application records from declined applications are retained for up to six (6) months for audit purposes, then deleted.
6. Your Rights as a Data Subject
Under Section 16 of RA 10173, you have the right to:
- Be informed that your personal data will be, are being, or were processed.
- Access your personal data upon reasonable demand.
- Object to processing, including profiling, except where required by law.
- Correct any inaccurate or incomplete personal data.
- Erase or block your personal data when it is no longer necessary, when you withdraw consent, or when the data has been processed unlawfully.
- Damages for any inaccurate, false, unlawfully obtained, or unauthorized use of your personal data.
- Data portability — to obtain a copy of your personal data in an electronic, structured, and commonly used format.
- File a complaint with the National Privacy Commission at privacy.gov.ph.
To exercise any of these rights, email learn@aja-edu.com with the subject line "Data Subject Request." We will respond within a reasonable period, and in any event within thirty (30) days, in accordance with NPC guidance.
7. Children's Privacy
Ajademy serves educational content for K-12 learners. We do not knowingly collect personal data from children under thirteen (13) years of age without verifiable parental or guardian consent. If you are a parent or guardian and believe we have collected such data without consent, please email learn@aja-edu.com and we will promptly delete it.
8. International Transfers
Some of our processors are located outside the Philippines (for example, Netlify is headquartered in the United States). When personal data is transferred internationally, we rely on the contractual and technical safeguards offered by these providers and on the lawful bases recognized under RA 10173 and NPC issuances.
9. Security
We implement reasonable and appropriate organizational, physical, and technical security measures to protect personal data against unauthorized access, alteration, disclosure, or destruction. However, no online service can guarantee absolute security; you share information at your own risk and are responsible for keeping your account credentials confidential.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be announced on this page with a new effective date. Continued use of Ajademy after the effective date constitutes acceptance of the updated policy.
